Contact List Management

 

 

The contact list in Office Communicator (OC) 2007 has a very similar look and feel to lists in other instant messaging clients.  However there are some fundamental contact list differences between Office Communicator and other IM clients. I would like take this chance to talk about the structure of the OC contact list and provide some tips for organizing it.

 

If you’re an OC user, you may have already noticed there are two groups you can’t delete from the contact list:  “recent contacts” and “other contacts”.  Recent contacts is a dynamic group that keeps track of the last 10 people you’ve conversed with via IM or phone.  This group is similar to the cell phone feature of maintaining a list of all incoming, outgoing and missed calls.  After a clean install of OC, you’ll see an empty recent contacts group; as you start sending/receiving IM messages or making/receiving phone calls, the recent contacts group will get populated.  The recent contacts group is always at the top of your contact list, because we believe this group consists of the contacts you will most likely initiate a conversation with.

 

Although the group can’t be deleted, recent contacts can be turned off by un-checking the “show recent contacts” option in the view contacts menu located next to the search box. 

The second group that cannot be removed from your contact list is other contacts.  If you never create personal groups in OC to organize your contacts, the other contacts group is the default group and will consist of all the people you’ve ever added to your contact list. 

 

Now, let’s shift gears and talk about how you can organize your contact list.  You can do so by creating personal groups.  To create a new group, simply right click on an existing group name (such as recent contacts or other contacts) and select “create new group” option. 

An empty group will be created, and there are a couple ways to add people to the group:

1.       Drag and drop the person into a group.  You can find the person you want to add using the search box located above the contact list. The search functionality searches across the company’s Global Address List (GAL) and your Outlook personal contacts.  I’m not going to go into details on search, but you can enter the name or email address of the person you’re looking for in the search box.  Search results will appear below the search box.  Then you can drag any contact from the search results to a group.  You’ll see the no drop target icon if you try to drag a contact to a group that the contact is already a member of, or to the recent contacts group (because it’s a dynamic group like I mentioned above).

2.       Right click on any contact and select the “add to contact list” option.  This will bring up another menu that lists all the groups you can add the contact to.  Just select a group and the contact will be added.

Since Office Communicator is an enterprise communication client, it supports adding distribution groups to your contact list.  This is an extremely useful feature for users who want to organize their contact list but don’t want to spend the time to search and add contacts. The contact list differentiates between user created groups and distribution groups by a group icon.  In the picture below, the “OCCC FTE PM Team” is a distribution group and has a group icon next to its name.

 

Lastly, I want to address a frequently asked question about why some contacts unexpectedly appear in the other contacts group.  Whenever someone adds you to his/her contact list, you will receive a notification.  The notification dialog asks whether you want to add this person to your contact list and the default group is other contacts.  Most people don’t read these wordy notification dialogs and will click “OK” to close it.  By clicking “OK”, you are adding that person to your other contacts group J

I immediately tried most of them, but I realized that seems a sort of limit is set for Distribution Groups expansion. Smaller distro are expanded, but larger aren't.
Is there a hard-coded limit for distro members number? Or, somewhere a "magic number" has to be set for that?
I tried to raise the "max results from queries" limit, but doesn't do.

Maybe an Exchange-related limit?
Maybe a OAB/webservice related issue? (i'm fighting against the "can't sinchronize Address Book" issue on Vista+Office2007 machines...)

2. I keep getting a login for the global address book on the client, I am running OC 2007 with Exchange 2003 and outlook 2003 on the PC.
3. Is there a way to have the converstations open in the same window for additional users or will it always open a new window for new converstaions.

Yes, OC has a hard coded limit on the number of distribution group members it can show.  The limit is 100 members.

I’m assuming you want to add federated contacts who are users of a public instant messaging connectivity service such as Windows Live, AIM, and Yahoo!.  You can add federated contacts by entering the following in the search box and dragging the search result into your contact list: userid(domain.com)@msn.com.  For example, to add someone with an AOL screen name of john@aol.com, enter john(aol.com)@msn.com in the search box.
Keep in mind that public IM connectivity requires that additional licenses be installed on Office Communication Server, so you might want to double check with your system administrator if the above fails.

The Galcontact.db file is needed to enable the “fast” search feature (i.e. wordwheeling).

Unfortunately OC does not support importing contacts.  This is something I will keep in mind for the next release.  Thanks for the feedback!

That seems a bit narrow minded to me.  I would like to move Recent Contacts to the bottom, because the people I am most likely to IM are those people ALREADY IN one of my other custom contact groups, and I have the most frequently used group at the top already.  But more importantly, I'd like to have the option of not having contacts automatically added to my Recent Contacts at all, if they are already part of one of my other groups.  It's redundant and annoying to message 10 different people one morning, and see double entries for each person, one each in both my Recent Contacts group and in my own custom group right below it.  (It would also be great to be able to choose on the client side whether phone calls also trigger this behavior - I'd prefer it to be just IMs most of the time.)

Yes, I can clear each contact individually from Recent Contacts, or the entire Recent Contacts list at once.  But I'd need to be doing that continually to keep redundant entries cleared.  Or, I can hide the entire list.  But I have found that it *can* be useful for people I only need to message on a limited basis, for example a few times in one afternoon, etc.  So I don't want it completely turned off, like I do with most other lists of recent contacts or recently opened files in Windows, etc.  But I don't like it the way it is either.

2.  I agree with a previous poster regarding importing contacts.  If you want to entice people to switch to this new client, or facilitate them doing so, that would seem to be an important feature to have.

How come you cant view the contact list alphabetically?  The views provided (by status) are not valuable, especially if you have hundred of folks on your contact list.  I want a strictly alphabetical view, the status of the person is secondary.  MS Instant Messenger gave you at least this.

New question related to this thread: Given that a contact is notified when I add them to my office communicator, what notice (if any) is given to a contact when I remove them from my contact list?  Followup question: Can I assume a) that when I add a contact, it has the effect of adding my name to their contacts and b) by removing their name from my contacts, it results in the removal of my name from their contacts?  (ok, it just dawned on me that I can figure this out by testing it with a colleague.  Still, it might be handy to have a reference to this in the documentation.)

Thanks for the helpful hints.  I HATE that Microsoft once again feels it has to "help" us by creating groups you can't lose, in my case the "other contacts". I use this at work to talk to other people in my company only so everyone fits into a group I create....ergo there are no "other contacts" so it's just always hanging out there empy and it keeps getting moved up in the list no matter how many times I move it to the bottom.  When will MS realize that not everyone who uses their products is a complete moron and start allowing some flexibility in their "helpful" programs?!

If anyone is paying attention to this thread, consider it a MUST to be able to import contacts or even push a default set of contacts out via Group Policies. Support staff, administrative personnel, even federated vendor contacts are all scenarios where I can see this as desirable.

I'm about to roll out Communicator 2007 R2 and was floored to find that even this basic level of administrator functionality was left out of such a complex platform. Baffling, to say the least.

Further what about when we move to a federated environment and need to aid users in the transition from the myriad Messenger clients continually hosing PCs with crappy tag-alongs and spyware add-ins? We're taking away one of their fun toys, AND we are forcing them to manully add all of their contacts again. Talk about IT deserving the dictatorial reputation... help us out here!

While Outlook has a very good fast user search in the contact list (search any column, including part of a phone number), it won't show the presence status of the user. In turn, MOC shows the presence, but there's no way to search by any other field, nor does it display those fields in the contact list.
